How we onboard you

You pick the tools. We do the wiring.

Three steps from signed to live. You choose the integrations, our team designs and tests them against the ways real onboardings go sideways, and then you go live with written SOPs your team can actually run.

The process

Choose, design, go live.

No project plan to manage and no engineer to hire. Here is exactly what happens, and what we need from you at each step.

1Your call
You choose

Choose your integrations

Every plan is priced by how many tools you connect, and you decide the mix. An input feeds a booking in. An output fires a step out the moment the consult is saved. Your consultation form sits in the middle, and it is included.

  • Inputs: your website form, Calendly, your intake service, or our own secure consultation form
  • Outputs: Clio, Docketwise, PandaDoc, LawPay, Monday, Gmail, and most tools with an API
  • Mix inputs and outputs freely. Start with the two or three that carry the most manual work
  • Add more systems later. The plan tier follows the count, not a new project
2Our build
We build and test

We legal design every integration

This is the part firms usually get wrong on their own. We do not just connect the tools, we design what each one should do at volume and what should happen when an onboarding does not go to plan. Then we test it with you, on your real accounts, before a single client touches it.

  • We map every field on your consultation form to every system that needs it
  • We design for volume, so thirty consults in a day queue and process in order
  • We agree the failure-mode rules up front, in plain English, before anything is wired
  • Then we run test onboardings with you and watch every receipt land in your tools
3Go live
We hand it over

Go live, with SOPs in hand

Go-live is not a login and good luck. You get written SOPs for operating the consultation form, plus a plain-English map of what every save triggers and where to look when you want to check. Your whole team gets accounts, at no extra cost.

  • An SOP for running the consultation form, written for the person who uses it
  • A map of what each save fires, in what order, into which system
  • Unlimited accounts, so anyone on the team can monitor or assist
  • If we do not have you live in 14 days, the implementation is free
Step two, in detail

Designed for the day it does not go to plan.

Automation that only works when every field is filled and every tool answers is not automation, it is a liability. These are the cases we decide with you before go-live.

Someone skips a required field
We decide which fields block the save and which ones simply hold the run. Nothing fires half-built, and the receipt says exactly what is missing.
The client is already in your system
Match and attach, or create fresh. We set the matching rule with you, so a returning client does not become a duplicate matter.
A tool is down or slow
The run queues and retries instead of vanishing. Every attempt is logged, so you can see what landed and what is still pending.
Two consults, one client
We agree the deduplication rule in advance, so a second booking updates the client you already have instead of splitting them in two.
A heavy intake week
Runs process in order under load. Volume is a queue depth, not a fire drill, and nobody has to babysit the tools.
The form needs to change
Add a field or a case type later and we remap the downstream steps that depend on it, so the change does not quietly break an output.
Step three, in detail

What you actually get at go-live.

Everything your team needs to run this without calling us, and us on the other end of the line for when you want to.

The consultation form SOP

How to open a consult, what each section is for, what to do when a client does not have an answer yet, and how to save so the automation fires cleanly.

The trigger map

A written account of what one save sets in motion: every output, in order, with the system it lands in and the receipt it writes back.

The monitoring walkthrough

How to read the live queue, what a pending or parked onboarding means, and the two or three things worth checking each morning.

Training for the whole team

We walk your attorneys and staff through it together, so the person covering intake next Tuesday already knows the drill.

Unlimited accounts, every plan.

You are never buying seats. Everyone at the firm who touches a new client can have their own login, so onboarding stops living in one person’s inbox.

  • Monitor onboarding progress in the live queue
  • Assist with consultation prep before the meeting
  • Pick up an onboarding when the attorney is in court
  • Unlimited hosts, so any attorney can run a consult
